Restaurant fully booked and waitlist notice templates
Tell arriving guests whether they can wait, return for another service, or check in for an existing reservation. Choose a notice that describes your actual seating situation. These original bilingual drafts separate a full dining room with a waitlist from a fully reserved service and a waitlist that has stopped accepting new parties.
Choose an example below, replace the bracketed details, and check both languages before copying or printing. Editing happens on this browser page; nothing is published to an account.
Tables full; waitlist available
TABLES ARE CURRENTLY FULL
[Restaurant] — [date and service period]
Please see our host at [host location] to ask about the waitlist and the current estimated wait. A place on the waitlist is not a confirmed reservation.
Thank you for checking with us before waiting.
FULLY BOOKED — [DATE AND SERVICE PERIOD]
[Restaurant] cannot accept additional walk-in parties for this service. If you already have a reservation, please check in at [host location].
To ask about another date or service, contact [reservation contact].
WAITLIST CLOSED — [DATE AND SERVICE PERIOD]
We are no longer adding new parties to the waitlist at [Restaurant] for this service.
If you are already on the list or have a confirmed reservation, please ask our host at [host location] about your arrangement. Thank you for your understanding.
State the date and service period so the sign does not look like a permanent closure.
Confirm whether you can accept another party before offering a waitlist.
If you include a wait estimate, update it when conditions change; do not treat it as a guaranteed seating time.
Verify the instructions for guests who already have a reservation.
Keep guest names and telephone numbers off a public sign; direct questions to the host.
Full now, fully reserved, or no more names on the list?
Use the first notice when tables are occupied but the host can still accept a waiting party. Use the second when the specified service is already allocated to reservations and additional walk-ins cannot be seated. Use the third when the team has stopped adding names to the waitlist. Do not tell parties already waiting that their place has been cancelled unless that is what the team has decided and communicated. Remove or update the sign when the situation changes. Printing these drafts does not manage reservations or notify guests.
